Logbook

Track and audit all workspace activities with RankGun's Logbook. View ranking actions, member changes, and system events.

Elite Subscription Required

The Logbook feature requires an Elite subscription.

The Logbook allows you to track member notes, warnings, and disciplinary records. Keep a complete history of staff interactions and maintain accountability within your group.

Overview

The Logbook provides:

  • Member Notes — Private notes about staff members
  • Warnings — Formal warnings with severity levels
  • Disciplinary Records — Track punishments and actions taken
  • History Timeline — Complete chronological view of all entries

Accessing the Logbook

  1. Navigate to Staff > Logbook in your workspace
  2. Search for a member or browse recent entries
  3. Click on a member to view their full record

Adding Entries

Member Notes

Add private notes about staff members that only workspace admins can see:

  1. Open a member's profile
  2. Click Add Note
  3. Enter your note text
  4. Optionally attach relevant context
  5. Click Save

Notes are visible only to Admins and Owners. Use them for:

  • Performance observations
  • Training progress
  • Behavioral patterns
  • Positive achievements

Warnings

Issue formal warnings with severity tracking:

  1. Open a member's profile
  2. Click Issue Warning
  3. Select severity level:
    • Minor — First offense, verbal reminder
    • Moderate — Pattern of behavior, formal warning
    • Severe — Serious violation, final warning
  4. Enter the reason and any additional details
  5. Click Issue Warning

Members can view their own warnings in their profile. Notes are hidden from them.

Recording Actions

Document disciplinary actions taken:

  1. Open a member's profile
  2. Click Record Action
  3. Select the action type:
    • Verbal Warning — Informal discussion
    • Written Warning — Formal documentation
    • Temporary Suspension — Time-limited removal
    • Demotion — Rank reduction
    • Termination — Removal from staff
  4. Enter details and effective dates
  5. Click Save Record

Viewing Member History

Each member has a timeline showing:

Entry TypeInformation

Rank ChangesDate, old rank, new rank, reason

Filtering History

Filter entries by:

  • Type — Notes, warnings, actions, rank changes
  • Date Range — View specific time periods
  • Author — Entries by specific admins
  • Severity — Warning severity levels

Warning Thresholds

Configure automatic actions based on warning counts:

  1. Go to Staff > Logbook > Settings
  2. Set threshold rules:
    • 3 Minor Warnings → Auto-issue Moderate Warning
    • 2 Moderate Warnings → Auto-issue Severe Warning
    • 1 Severe Warning → Flag for review

Auto-actions flag entries for admin review but don't automatically demote or remove members.

Exporting Records

Export logbook data for external record-keeping:

  1. Go to Staff > Logbook
  2. Click Export
  3. Select format:
    • PDF — Formatted report
    • CSV — Spreadsheet format
    • JSON — Data format
  4. Choose date range and member scope
  5. Download the export

Privacy & Access

RoleAccess Level

ModeratorCan view warnings, cannot see notes
MemberCan view own warnings only

Best Practices

  1. Be objective — Document facts, not opinions
  2. Be consistent — Apply the same standards to all members
  3. Be timely — Record events promptly while details are fresh
  4. Include context — Reference specific incidents or dates
  5. Use progressive discipline — Start with minor warnings, escalate as needed

Integration with Activity Tracking

The Logbook integrates with Activity Tracking:

  • Quota failures can automatically generate notes
  • Extended inactivity can trigger warning reminders
  • Activity patterns appear in member profiles for context

Configure these integrations in Staff > Activity Tracking > Settings.
